Here is a little information and FAQ to assist you when planning your Wedding, and working with McGee

How do I book?

Once you have chosen your Artist/s and what package you would like, McGee will send you a formal quote/ contract.  To lock in the performance,  simply sign and return the quote.  Quotes are valid for 90 day.

Is a deposit/ booking fee required?  

YES, A 25% NON REFUNDABLE DEPOSIT/ BOOKING FEE IS REQUIRED

Once you've signed and returned your formal quote, McGee will send you an email to confirm the booking and your deposit/ booking fee invoice 

You have 6 weeks to pay your deposit/ booking fee invoice, or you are welcome to spread out the cost of your deposit/ booking fee invoice over 3 months with payment instalments of your choosing

When is final payment due?

14 days prior to the wedding or earlier if you choose

What happens if I need to cancel?

Should the event cancel or the client cancels the agreement or the client decides to cancel or downgrade the agreed performance [either the amount of time agreed or band arrangement/number of performers] 183 days [6 months] or more prior to the appearance/event date, 25% of the Artist fee is payable, or forfeiting of the initial 25% deposit/ booking fee. If the deposit/ booking fee has not been paid, this will still be enforceable under the original payment terms, providing this falls outside of the standard cooling off period

Should the event cancel or the client cancels the agreement or the client decides to cancel or downgrade the agreed performance [either the amount of time agreed or band arrangement/number of performers] between 182 - 61 days prior to the appearance/event date, 50% of the Artist fee is payable. If the 25% deposit/ booking fee has been received, the remaining 25% balance will be due 6 weeks from the date of cancellation. If the deposit/ booking fee has not been received, this will still be enforceable under the original payment terms, providing this falls outside of the standard cooling off period

Should the event cancel or the client cancels the agreement or the client decides to cancel or downgrade the agreed performance [either the amount of time agreed or band arrangement/number of performers] 60 days or less prior to the appearance/event date, 100% of the Artist fee is payable. If the 25% deposit/ booking fee has been received, the remaining 75% balance will be due 6 weeks from the date of cancellation. If the deposit/ booking fee has not been received, this will still be enforceable under the original payment terms, providing this falls outside of the standard cooling off period

Your cancellation must be received in writing/email. Payment will be due 6 weeks from the date of cancellation

What happens if I need to reschedule?

Reschedule and rebooking fee structure:

In the event of a reschedule 183 days or more prior to the event, you can freely change the date for a $70 admin fee, providing you have paid the initial 25% deposit/ booking fee.  The fee will be chargeable at time of changing the date payable either via credit card [3% fee applicable] or 3 business days via bank transfer. If you have paid a deposit/ booking fee, this will carry over to the new date. If the performance falls within the same year, the performance fee will be at the same rate as the original contract.  If the performance falls in another year, the performance fee will be updated to current pricing for that year

In the event of a reschedule between 182 days - 61 days prior to the event, 25% reschedule fee is applicable. If you have paid a deposit/ booking fee, this will carry over to the new date.  If the performance falls within the same year, the performance fee will be at the same rate as the original contract. If the performance falls in another year, the performance fee will be updated to current pricing for that year. Payment is due either on the original due date or a due date of 6 weeks from receiving notice – whichever is earlier

In the event of a reschedule within 60 days prior to the event, 50% reschedule fee is applicable. If you have paid a deposit/ booking fee, this will carry over to the new date.  If the performance falls within the same year, the performance fee will be at the same rate as the original contract. If the performance falls in another year, the performance fee will be updated to current pricing for that year. Payment is due either on the original due date or a due date of 6 weeks from receiving notice – whichever is earlier

If the deposit/ booking fee has not been paid, this will still be enforceable under the original payment terms, providing this falls outside of the standard cooling off period

How do I pay for my booking?

We offer two methods of payment: 

BANK TRANSFER or CREDIT CARD

Credit cards accepted: Visa | Mastercard | American Express*

NOTE: 1.8% credit card fee if the value of the invoice is over $500

DEPOSIT/ BOOKING FEE INVOICE  [25% NON-REFUNDABLE]

You have 6 weeks to pay your deposit via bank transfer or credit card upon returning your signed formal quote

DEPOSIT/ BOOKING FEE PAYMENT PLANS

You are welcome to pay your deposit/ booking fee invoice over 3 months with instalments of your choosing. Please note: instalment payments only available via Bank Transfer

For any late payments, a $30 late payment fee is applicable. 3 business days will be allowed after the due date for funds to clear

PAYMENT - FINAL BALANCE

Final payment is due 14 days prior to the wedding. Up until that time, you are welcome to pay your balance with instalments of your choosing

What if I wish to extend my package?

The Complete Wedding Entertainment Package is based on 8 hours and covers your ceremony, cocktail and reception

The All Inclusive Reception Package is based on 6 hours and covers your cocktail and reception

The Ambience Package is based on either 4, 5 or 6 hours and covers your ceremony, cocktail, dinner and first dance

The Ultimate DJ Package is based on either 4, 5 or 6 hours, and the live music Add On is based on 3 hours

These packages DO NOT factor into the artist bump in/bump out time - this is complimentary based on the following timing:

Solo - 45 minutes complimentary bump-in prior to commencing

Duo - 60 minutes complimentary bump-in prior to commencing 

Trio, 4-piece or 5 piece - 90 minutes complimentary bump-in prior to commencing*

*If having solo ceremony & cocktail, your band will set up 90 minutes prior to guests arriving at your Reception.  Then the lead artist will bump-in with the rest of the band which takes approximately 30 minutes.  We recommend a DJ set at this time for minimal interruption of atmosphere

The time of the package commences at SET ONE for the relevant number of hours ie. SET ONE starts at 3:00pm for 6 hour package - package ends at 9:00pm.

You may extend the package: 

$50 + GST per 30 mins DJ

$100 + GST per 60 mins DJ

$200 + GST per hour live solo

$250 + GST per hour live duo

$300 + GST  per hour live trio

$400 + GST per hour live 4-piece

$500 + GST per hour live 5-piece

McGee will assess your final timing at the time of completing your run sheet.  If you need additional time, McGee will add this to your final account.

Final payment for any ADD-ON’s is 3 business days prior to the Wedding - see below for further info on McGee ADD-ON’s

How do you plan my Wedding to perfection?

This is a great question!  This is extremely important to us to ensure your day runs smoothly and that you have perfect atmosphere at all times

We take a great deal of time and consideration to get across all of the details for your special day

Here is the timeline you should bear in mind when it comes to the planning of your Wedding: 

6 weeks prior 

We will contact you and send you our WEDDING DETAILS FORM. This simple easy form is for you to fill out online which can be found in your client portal

21 days prior

Is when your completed WEDDING DETAILS FORM is due

We will review all your song requests and make sure our artist is able to perform them (see below re: song requests)

14 days prior

Final Payment will be required. Your invoice will be located in your client portal with payment instructions

3 - 7 days prior

This is when we will issue your FINAL RUN SHEET

A copy of this will be given to you, your Wedding Planner (if required) and the venue (if required)

This is what your Artists will work off for the day

It’s important that you check over all the information & timing

If you require any ADD-ON’s, the invoice will be sent at this time    

On the day The RUN SHEET will have the Artists contact information should you need to contact them direct

After the Wedding

Once you’ve had the most magical day of your life, we will be in touch to seek your extremely important feedback

We greatly appreciate any feedback whether it's positive or constructive

Your McGee Wedding Planner is available to assist you -please feel welcome to get in touch at any point.  We will ensure to be back in touch with you in a timely manner

Can I have special song requests performed live by my chosen Artist? 

The answer is YES!  Absolutely!

Our Artists are more than happy to learn and perform any special requests for the key moments of your Wedding

When you complete your Wedding Details Form [found in your client portal], this is where you detail your song requests

This is due 21 days prior to your wedding

Your Artist will review your song requests and ensure that they are able to perform the song (and do it justice).  On most occasions, this is no problem.  Should the Artist feel that they won’t do the song justice, we will be back in touch and will organise that the original track is played instead.

Examples why the Artist hasn’t been able to perform special requests:

-The original artist has a certain tone (deepness/high voice/unique tone) that our Artist can’t articulate

-The original has a unique beat or melody that can’t be replicated acoustically.

-The song request is a high female vocal when your chosen Artist is a male.

We will do our absolute best to accommodate all requests

Please choose NO MORE than THREE special requests

We recommend that you choose your song choices from your Artist’s repertoire, but leave the order in which the songs are performed to the artist.  Your artist is an absolute pro at reading the room and what is appropriate for the timing and atmosphere of the event

Choreographed FIRST DANCE - should I have this performed LIVE by my artist or the original TRACK?

In the instance of a FIRST DANCE which has been choreographed, we recommend this is done by the ORIGINAL TRACK to ensure perfect timing for your routine.  As a live performance is organic, we can’t always promise perfect timing and we would hate for you to stumble when it’s your moment to shine!

Can my artist record a key moment song for me in advance?

Our packages unfortunately don’t include the recording of key moment songs. The reason for this is our artists will never send you a low quality iPhone recording, as it wouldn’t do the song or your artist any justice. For them to record it to a high quality, it does take anywhere from 2-6 hours, therefore, providing we receive a minimum of 9 weeks notice and subject to your artist availability, they can record your key moment song for $195 + GST.

Please note: If you've booked a band, it may only be recorded as either solo or duo

Rest assured, if your artist has agreed to perform your key moment song live, it means they will do it justice and create a wonderful, organic moment for you

How does the DJ sets work when booking one of our live music packages? 

All of our leading musicians double as a DJ! This is really beneficial for you for the following reasons:

-Seamless transition between live sets and DJ

-Just the one PA set up - no disruptions

-More cost effective rather than paying for two separate suppliers

-One point of contact for both live music & DJ

-No additional supplier meals

When your artist/s is having a break in-between live sets, they will put on a playlist either based on your requests OR a playlist that is suitable to the time of the event [ie. cocktail themed playlist]

When it is an actual DJ set [either at the beginning of reception or DJ dance set towards the end of the night], your artist will actually physically ‘DJ’ and use our technology that blends/ fades music/ matches beats/ adds flourishes and accents with the ability to make requests on the night.  These sets are polished! 

How do I choose my songs for the DJ sets/ artist breaks?

We are more than happy to create DJ sets based on your tastes/likes!  You can simply list your ‘must haves’ or even the names of your favourite bands/musicians when returning your WEDDING DETAILS FORM, and we will do the rest

For those couples who have a lot of requests, we recommend that you create a playlist through Spotify

This is super easy, free to use and just requires you to download an app on your laptop or phone.  Spotify can work in conjunction with our DJ technology.  This is a wonderful tool as every song imaginable is on there!  If you can’t find a specific song, we will happily source it for you at no extra charge

Please name your playlists as per the time of day – ie. Cocktail/ Dinner/ Reception as required OR send one playlist with all your choices and we will choose the best time of day to play it.  Then once you’ve created your playlists, you are able to share this playlist with us through creating a URL

 
How to share a Spotify playlist
 

Here’s how to do it:

1 – PRIVACY: Under Settings in your Profile, ensure Automatically make new playlists public feature is on

2 - PLAYLISTS > In your Playlist to share, click on the circle with the 3 dots [as indicated by the yellow star below]

3 - SHARE > Open to the Share tab

4 - Open to Copy Playlist Link which will copy the link so you can paste in your WEDDING DETAILS FORM 

If you are having any trouble with creating your playlists, please contact us and we will assist you.  Don’t forget: you or your guests can make requests on the night! 

What key moments of the day should I have a song?

This completely comes down to personal taste and how you and your partner wish to arrange your special day, but here are the key moments to think about having a song for:

CEREMONY

-Ceremony Entrance Song

-Signing of the Registry 

-Congratulations/ Walk back up the aisle

RECEPTION

-Reception Entrance Song

-Cutting of the Cake

-First Dance (and in some cases Second Dance)

-Daddy/ Daughter Dance

-Mother/ Son Dance

-Tossing of the Bouquet

-Farewell Song (last song of the night)

There is no right or wrong order to have these songs performed

Note: Signing of the registry happens a-lot quicker than people realise.  One song is usually more than adequate however, please feel welcome to advise a second song just in case. Please ensure you provide approximate timing that you wish for these songs to be either performed live or played as the original track

ADD-ON’s will be invoiced at the same time as issuing your final run sheet [approximately 7 days prior to the wedding] including any additional time

ADD-ON’s like planning services, string quartet, additional DJ or live elements, need to be organised with McGee in advance

ADD-ON’s are subject to availability


Reception structure for solo

If booking SOLO, you can have the following Reception options

OPTION ONE - x1 live Cocktail set, x1 live Dinner set, x1 live Dance set, DJ Dance Set till close of night

OPTION TWO - x1 live Cocktail set, x1 live Dinner set, First Dance + Parents Dance may be performed live, DJ Dance Set till close of night

DUO OR BAND - If you would like full live dance sets for your Reception, you must book a minimum of DUO with two lead artists or BAND [trio - 6-piece+]


Reception structure for duo

We provide some flexibility with the way how you wish to structure your reception when have a duo musician.

In the music world, a “SET” refers to approximately 60 minutes of time.

In general, out of the set, there artist will perform for 45 mins with a 15 min break, however this can vary:

A SET might also be

50 mins of performing/ 20 min break

60 mins of performing/ 30 min break

For general 8-hour wedding there are SEVEN SETS:

Ceremony – SET ONE

Cocktail – SET TWO

DJ - Beginning of Reception – SET THREE

Live Music during dinner – SET FOUR

First Live Dance Set + key moment songs – SET FIVE

Second Live Dance Set – SET SIX

DJ Dance set to conclude – SET SEVEN

For general 6-hour wedding there are SIX SETS:

Cocktail – SET ONE

DJ - Beginning of Reception – SET TWO

Live Music during dinner – SET THREE

First Live Dance Set + key moment songs – SET FOUR

Second Live Dance Set – SET FIVE

DJ Dance set to conclude – SET SIX

Our packages in general are structured as Option One:

-SET THREE: DJ set at the beginning of the reception/ reception entrance song/ during entrée – 60 mins

-SET FOUR: Live dinner music during the serving of your meal – 60 mins

Speeches [artist dinner break] – 30 mins

-SET FIVE: Live music dance set – includes cutting of the cake/ first dance/ parents dance – 60 mins

-SET SIX: Second live music dance set – 60 mins

Dessert or cake served

-SET SEVEN: DJ Dance set to conclude including farewell song – 60 mins

If you want a balance [some live dance music and some DJ] it would look like Option 2:

-SET THREE: DJ set at the beginning of the reception/ reception entrance song/ during entrée – 60 mins

-SET FOUR: Live dinner music during the serving of your meal – 60 mins

Speeches [artist dinner break] – 30 mins

-SET FIVE: Live music dance set – includes cutting of the cake/ first dance/ parents dance – 60 mins 

Dessert or cake served 

-SET SIX: DJ Dance set till end of night – 1.5 – 2 hours

If you want live music for ceremony, cocktail and dinner and then move into DJ mode for the dancing part of the evening, it would look like Option 3:

-SET THREE: DJ set at the beginning of the reception/ reception entrance song/ during entrée – 60 mins

-SET FOUR: Live dinner music during the serving of your meal – 60 mins

Speeches [artist dinner break] – 30 mins

-SET FIVE: Live performance of cutting of the cake/ first dance/ parents dance  - 20 mins

Dessert or cake served

SET SIX: DJ Dance set till end of night including farewell song – 3 hours – 2.5 hours

Please select on your Wedding Details Form either:

Option One: x1 dinner set, x2 dance sets, x1 DJ set

Option Two: x1 dinner set, x1 dance sets, x2 DJ sets

Option Three: x1 dinner set, x3 DJ sets

N/A if trio/ band

How do you work with my MC?

Essentially, your artist and your MC are running the entire evening!  The better they communicate, the better the whole evening will flow 

We really encourage that your Artist & MC have a quick 5-minute debrief to chat about cues, key moment songs, announcements and how they will communicate/ signal between each other

We encourage this chat to occur prior to the reception has started so during the cocktail hour is ideal.  Please ensure you notify your MC to do this and factor this into the timing of the day

Where is the McGee catchment zone for FOC Travel fees?

TWEED HEADS TO MALENY

The catchment zone for our travel fees included within the package is Maleny to Tweed region.  Heading west, the catchment zone goes as far as Laidley. There is a standard $100 travel fee per performer to the Sunshine Coast, Toowoomba + Byron Bay

How do I calculate travel fees outside the FOC catchment zone?

85c per additional KM marked from the closest town to the venue destination.  

Example: Noosa Heads

Maleny to Noosa Heads - 80km - $68 each way 

McGee will happily provide you an accurate quote

Do I have to pay for accommodation for my artist/s?

If you book an artist/s and the travel driving time [one way] from the venue to the artists home base is greater than 2 hours 15 minutes, accommodation is required in either a hotel/ motel at the clients expense.  McGee will happily make arrangements and add the travel costs to your final bill.  When making travel arrangements, McGee requests a 50% deposit

Fire pits / open fires

If you’re planning on having a fire pit or similar at your event, your artist performance location must not be near the fire - the further away, the better. This location may need to be flexible, should the wind be blowing in a certain direction. The reason for this is the smoke causes your artist/s voices to dry out making it very difficult for them to perform. Even more seriously, it can cause permanent vocal cord damage or impact their ability to perform for weeks. Please liaise with your McGee Producer should you wish to have a fire pit at your event

What if my Wedding runs late or things don’t go to plan re: timing?

This is not something to worry about!  This happens!  Our Artists are fully equipped and experienced to continue with the structure of your day should it be running late (or whatever reason!)

What happens with outdoor performances and bad weather?

Unfavourable weather is something that can happen!  But don’t worry!  

McGee always will do a long range weather forecast at the time of your PERFORMANCE RUN SHEET being issued.  On the day, our Artists will check the weather forecast and will communicate with the venue/and appropriate contact person should a WET WEATHER CONTINGENCY PLAN needs to be executed

For any part of the day that requires that Artist to be outdoors, please ensure that there is some sort of shelter/shade, especially if this is for any extended period of time.  This is an OH&S requirement

Shade or shelter MUST be provided if its very sunny (especially in months of September - March), or to protect their equipment from rain/shower if weather is looking unfavourable

Should no shade be provided and the conditions are very hot, the Artist is within their rights to decline from performing until some shade is provided

In the event of rain/shower during an outside performance, for safety reasons (electrical) and to protect the Artists equipment, they will cease performing until the rain has stopped

Most venues offer a WET WEATHER CONTINGENCY PLAN or a shade option  

Please speak to McGee about any concerns with this   

What I am required to provide on the day for the Artist/s?

Including the appropriate shade/shelter as detailed above, the Artists will require the following:

-For a call time longer than 4 hours or more, an Artist meal must be supplied.  Most venues will offer this either complimentary or at a discounted rate. The reason for this is your artist is going to be tied up with your event for 8 hours or more (including bump in/ bump out time).  On most occasions, wedding venues are slightly remote and there is little opportunity for them to get a meal.  This is greatly appreciated by the artist

-Our Artists must have water available at all times - please ensure your venue is across this

-For any Artists booked on one of our packages, it is a requirement to offer refreshments/ snacks throughout the day

-Most venues offer BANDS/ ARTISTS a complimentary Green Room for their breaks/ meals.  This is ideal so they can have a space to rest/ refresh themselves in between sets.  This can even be a table in the corner or out the back of the establishment

-By looking after your Artist/s, it means they can dedicate all their time and energy to your day ensuring you have amazing atmosphere

-Some artists have a RIDER (ie. Pinot Noir) - McGee permits responsible consumption of alcohol in conjunction with state laws

How long can my artist perform for?

Sets vs Breaks ratio works as follows:

45 minute set / 15 minute break

50 minute set / 20 minute break

60 minute set / 30 minute break 

They will require a 30 minute dinner break when booking one of the Packages.  This dinner break is flexible and can work around the arrangement of the evening or with your venue.  In most cases, this works during speeches 

An Artist cannot exceed actual LIVE performance time longer than 4.5 hours [270 mins] over the course of the day. [This does not include DJ time]

DJ music will be played during artist breaks/ in-between sets.  This can be specified to your tastes and to suit the timing of the night [see section above on How do I choose my songs for the DJ sets/ artist breaks?]

Sound restrictions

In some areas/ venues, they have sound restrictions and timing that music must be shut off  

Please ensure you check with your venue as to what those restrictions are and inform McGee when sending your WEDDING DETAILS FORM.  It also pays to check what arrangement your venue allows?  Some venues only permit a trio or less 

We will take every measure to ensure we keep within those limitations during our performances.  We are happy to communicate with your venue around this

My ceremony/ cocktail location has NO POWER?  What do I do?

Having access to power for your artist is an absolute must, therefore we would encourage you to either hire a bluetooth speaker [via McGee and subject to availability] or a small low-hum generator.  The speaker hire from McGee is $150 + GST or if hiring a generator [from somewhere like Kennards] they generally cost around $150 per day to hire

If the generator is the best way to go, if you can arrange for this to be on site, your artist will happily set this up away from the ceremony/performance location and run leads

Why can’t they perform unplugged?

When a musician performs unplugged, they have to really project their voice which means they can risk blowing out their voice entirely [and lose the ability to sing for weeks], therefore it is a requirement that power must provided either from the venue, via a generator or bluetooth speaker

For your guests comfort, we highly recommend having your ceremony amplified as it can be difficult to hear otherwise


Speeches

You are welcome to use the band PA for speeches - this is complimentary and included within your package

Please note: The microphone is a corded mic - if you wish to use a wireless microphone, the cost to hire is $150 per day for the mic/ receiver and will be added to your final invoice [subject to availability]

Where should my Artist/s perform for the Ceremony, Cocktail and Reception?

This is a good question and something to think about carefully as this can either make or break the atmosphere of the day. Here are a pointers to keep in mind with the planning of your Wedding and performance locations:

Ceremony

The ideal location is at the top of the ceremony space (and slightly to a side if required).  If you have the Artist centre the space, the Artist can always move to the side during the formalities

If you would like the Celebrant to use our PA, just bear in mind they will need to share the microphone space so this would require having the Artist a little more centre of the space

If you are getting married on the beach, it recommended to have a PA (including a generator) as it can be difficult to hear just with the waves/wind  

The pre-ceremony music is generally soft, romantic, atmospheric music.  Acoustic (or no vocals) is also a popular choice

Cocktail 

The idea of the cocktail hour is to mix and mingle and the Artist to provide atmosphere and ambience.  We encourage warm, inviting music.  It is not as important to have the Artist central, but close to the space

Reception

The reception is about the CELEBRATION!  Whether your FIRST DANCE is slow or upbeat, your Artist/s really need to be close and centre stage so they can engage and connect with you as a couple and your guests  

We would always recommend having the Artist/s and dance floor in the same position.  If you split up the dance floor to the artists (even with just having a DJ)  could be severely effecting the atmosphere or the Artist/s ability to connect/read the audience 

On most occasions, your venue has already worked out what is the best location to have live music/ entertainment 

Please feel welcome to speak with us regarding the best performance locations for your venues 

Number of Performance Locations

For a full day package, 3 performance locations are included such as CEREMONY, COCKTAIL + RECEPTION

For a 6 or 5 hour package, 2 performance locations are included such as COCKTAIL + RECEPTION

For a 4 hour package, 2 performance locations are included such as CEREMONY + COCKTAIL

If you need an additional performance location move outside of your package allocation, there is a $100 + GST fee applicable, which will be added to your final invoice. Please allow 20 minutes for your artist/ duo to move between locations. Once a band is set-up, they are unable to move [as it takes 90 minutes for set-up]

Parking & Loading

Please ensure you provide details as to how and where our artists are to load and park.  The closer to to the performance space the better

If there is a long distance from the loading area to the set up location, McGee will need to be made aware of this just so we ensure your artist has adequate time for bump in

McGee may request you to pay for Artist parking should there be a charge 

Bump in/ bump out times? Moving from ceremony to cocktail, or cocktail to reception?

As part of the package, we offer complimentary bump-in based on the following timing:

Solo - 45 minutes prior to commencing 

Duo - 60 minutes prior to commencing

Trio, 4-piece or 5-piece - 90 minutes prior to commencing

If you require your artist to be onsite earlier than the timing specified above, additional fees of $50 + GST per half hour are applicable

If your artist needs to move performance locations ie. the set up from your ceremony location to a cocktail space (within the same venue) please allow 15 - 20 minutes

If there is travel required, please add the travel time in addition to 15 - 20 minutes set up time 

If your artist has played solo ceremony/ cocktail hour, then is being joined in by a band for the Reception, the artist will need 30 minutes to bump in/set up/ sound check with the rest of the group.  They may also require a 15 - 20 minute break

If you are having a band perform [Trio, 4 piece, 5 piece, 6 piece] at the Reception, they will need a minimum of 90 minutes to bump in/ sound check prior to the first set

McGee will determine all this timing for you based on your event timing/ formalities
